15 Free AI Tools for Indian Small Businesses

Most of the AI tools a small business actually needs are free. Not a trial that nags you after a week, free: a plan you can keep using as long as you stay inside its limits. The catch is that free means three different things, and the limit is where tools quietly push you to pay.

This is a list of 15 tools that have a real free plan as of October 2026, grouped by the job each one does, with the honest limit of each one. I run an agency and I have set up most of these for Indian shops, clinics and solo founders. Start with three, not fifteen.

A quick note before you sign up for anything: the tools below change their free plans often. I checked each one in October 2026. Open the tool's own pricing page before you rely on a limit, because a cap that was generous last quarter can shrink.

What "free" really means

Three words get mixed up, and the mix-up costs you money.

A free plan stays free. You use it inside a limit, forever, with no card needed to start. A free trial is paid software you get to use for 7 or 14 days before it charges you. A freemium plan is free at the bottom and paid higher up, so the free part is real but deliberately small to nudge you to upgrade.

The three kinds of free, and why the difference matters.

Most tools here are freemium. That is fine. The skill is knowing the limit and staying under it, or spreading work across two free tools instead of paying for one.

Writing and content

Three tools cover almost all the writing a small business does: replies, captions, product descriptions, first drafts.

ChatGPT is the one most people already know. Its free plan gives you unlimited everyday text chats, with limited image creation, file uploads and voice, as listed on OpenAI's pricing page in October 2026. For drafting an email, rewriting a clunky paragraph or answering a customer question, the free plan is enough for a one-person business.

Google Gemini sits inside tools you may already use, like Gmail and Google Docs, and has a free tier with daily usage limits. If your work already lives in Google Workspace, this is the one to try first because there is nothing new to learn.

Claude is strong at longer writing and reading long documents. The free plan lets you chat on web, desktop and mobile with lighter usage than the paid Pro plan, per Anthropic's pricing page in October 2026. I reach for it when I want a careful first draft of something longer, like a service page.

Do these support Hindi and regional languages? All three handle Hindi and major Indian languages reasonably for everyday writing. They are not perfect for formal or legal text, so read before you send.

Design and images

You do not need a designer on retainer to look professional.

Canva is the workhorse. The free plan gives you unlimited designs, over a million templates, 5GB of storage and about 20 AI uses a month, as Canva states on its pricing page in October 2026. That AI allowance covers roughly 20 uses of its standard or premium AI tools a month, then it stops until the month resets. For posts, simple flyers and social graphics, free Canva is plenty. The AI image and background-removal features are where you hit the monthly cap fastest, so save those for the designs that matter.

Leonardo and similar image tools give you a set of free image credits each day. Use them for a one-off graphic. Be honest with yourself: AI images still look like AI images, so for anything a customer studies closely, a real photo wins.

Video

CapCut edits short video for free, with captions, trimming and basic effects, and lets you export without a watermark on the basic features. For a reel or a product clip shot on a phone, it is all most shops need.

Admin and productivity

This is where free AI saves the most time, because admin is what eats a small owner's day.

Google NotebookLM takes your own documents, a price list, a policy, a set of notes, and lets you ask questions and get summaries grounded in those files. It is free with generous limits and genuinely useful for a business with scattered paperwork.

Otter.ai transcribes meetings and calls. The free plan gives you a limited number of minutes each month, which is enough to capture a few client calls so you are not scribbling notes.

Perplexity answers research questions and shows its sources, so you can check them. Free searches are capped daily, with the advanced mode limited further.

Google Forms is not an AI tool, but it is free and unlimited, and it is the simplest way to capture leads or run a quick survey. Pair it with one of the writing tools to summarise the responses.

Customer messaging and support

WhatsApp Business is free and is where most Indian customers actually want to talk to you. Set up a catalogue, quick replies and away messages. It is not "AI", but it is the channel your AI-drafted replies should land in.

Zoho offers free tiers across email, a basic CRM and invoicing, built for very small teams. If you want your customer records and messaging in one place without paying yet, it is worth a look, and it is an Indian company, so pricing and support fit the local market.

How to pick your first three

Do not install all fifteen. Pick one tool for each of your three biggest time sinks. Here is the simple rule I give clients.

  1. What eats your time most? If it is writing and replying, start with ChatGPT or Gemini. If it is making things look good, start with Canva. If it is admin and notes, start with NotebookLM or Otter.

  2. What do you already use? If you live in Gmail, Gemini fits with no friction. If you post on Instagram daily, Canva pays off fastest.

  3. What is the one job you keep putting off? Automate that first. Momentum comes from clearing the task you dread, not the one that is already fine.

Three questions to pick your first three tools.

Three tools, used every day, beat fifteen you opened once. Give each a week before adding the next.

Mistakes small businesses make with free AI tools

  • Signing up for everything at once. You end up with fifteen logins and no habit. Three is the number.

  • Pasting private data into any tool. Customer phone numbers, Aadhaar details, bank information: keep these out of AI chats. On free plans, your inputs may be used to improve the model unless you opt out, and most people never check the setting. Treat anything you type as if it could be seen.

  • Trusting the output blindly. AI gets prices, dates and names wrong with full confidence. Check every number and fact before it reaches a customer.

  • Letting the free limit decide your workflow. If you hit Canva's monthly AI cap on day three, that is a sign the tool earns its paid plan, not a reason to abandon it. Pay when a free tool saves you more than it costs, and not before.

One rule above all: never paste customer personal details, payment information or anything confidential into a free AI tool. On many free plans your inputs can be used to train the model unless you turn that off.

FAQ

Are these tools really free or free trials?

Most are freemium: a real free plan at the bottom with paid tiers above. ChatGPT, Gemini, Claude, Canva, Google Forms, WhatsApp Business and NotebookLM all have a genuine free plan you can keep using. A few, like some image tools, give free daily credits rather than unlimited use. None on this list is a trial-only tool.

Which free AI tool is best for writing in India?

For everyday writing, ChatGPT or Gemini. Gemini wins if you already work in Gmail and Google Docs, because it sits inside them. Both handle Hindi and major Indian languages well enough for drafts, though you should always read formal text before sending.

Do free AI tools support Hindi and regional languages?

The major chat tools handle Hindi and common Indian languages for everyday use. Quality drops for formal, legal or highly technical text, so treat the output as a draft, not a final version.

Is my business data safe on a free plan?

Assume it is not fully private. On many free plans your inputs can be used to train the model unless you turn that off in settings. Never paste customer personal details, payment information or anything confidential.

Which three should a one-person business start with?

A common, sensible start is ChatGPT or Gemini for writing, Canva for design, and WhatsApp Business for customer messaging. Swap in NotebookLM or Otter if admin and notes are your real bottleneck.

Do I need a credit card to sign up?

For the free plans listed here, no card is needed to start. A card is only required when you choose to upgrade to a paid plan.

When is it worth paying?

When a free tool saves you more time or money than its paid plan costs, or when you keep hitting its monthly limit mid-task. Until then, stay free and spread work across two tools if you need more.
